Privacy Policy

NexaHub Inc. (“NexaHub,” “we,” “us”) is a Georgia nonprofit corporation recognized as tax-exempt under section 501(c)(3) of the Internal Revenue Code. This policy explains what personal information we collect through nexahub.org (the “Site”), why, and what we do and do not do with it. In short: we use what you tell us to answer your request and run our programs. We do not sell, rent or trade personal information, and we never use it to sell you anything.

What we collect

• What you give us. When you send a request, we ask for your name, email, how you want us to reach you (email, phone, WhatsApp or Telegram) and the matching phone number or handle, your preferred reply language, what you need help with, and a short description of your situation. Depending on the program, we may also ask who you are (individual, business owner, nonprofit), household size, an approximate income range (optional), a deadline, and, for the community application, how you would like to take part, what you hope to learn or can share, and why you want to join. We also record that you agreed to this policy and to be contacted about your request.
• What the Site records automatically. To protect the form from abuse, we keep a shortened, scrambled version of your IP address (not the address itself), your browser type, and the time of the request. The Site does not use advertising or analytics cookies and does not track you across other sites. It stores only your light/dark theme choice in your browser. It loads fonts from Google Fonts, which means Google receives your IP address when the page loads.
• What we ask you not to send. Please do not put Social Security numbers, bank account or card numbers, or tax return details in the form. If our system finds a Social Security number or card number in your text, it removes it automatically.

How we use it

We use your information only to (1) respond to your request and tell you which NexaHub program may fit; (2) run our programs, such as workshops, mentoring and the community; (3) keep records we are required to keep and meet legal duties; and (4) keep the Site secure. We contact you only about your request. We send newsletters or event announcements only if you ask for them, and every message has a way to stop.

Who sees it

Only NexaHub personnel and volunteers who need it to answer your request. We use service providers that host our systems and manage our requests (for example, web hosting and customer-relationship software). They process information only on our instructions and may do so in the United States or in other countries where they operate. We do not sell or share your information for advertising.

If you ask us to point you to an independent professional or organization, we pass on your contact details and the summary of your question only after you say yes, and only to the provider you choose. We may also disclose information when the law requires it, to respond to valid legal process, or to protect people from serious harm.

Free tax programs

If NexaHub offers free tax return preparation through an IRS-sponsored program, your tax information will be handled under IRS rules for those programs (including Internal Revenue Code section 7216 and IRS Publication 4299), and you will receive the required consent form before we use it.

How long we keep it

We keep request records for 24 months after our last contact with you, then delete them. Records of donations are kept for seven years because tax rules require it. We keep a record longer only if the law requires it or a legal claim is pending.

Your choices

You can ask us to tell you what we hold about you, correct it, or delete it, and you can ask us to stop contacting you. Write to us at the address below; we answer within 30 days. We do not charge for this and we do not treat you differently for asking. If you live in a state with its own privacy law, you have the rights that law gives you, and we honor them for all visitors.

Security

The Site uses an encrypted connection (HTTPS). Request records are stored on protected servers, are available only to authorized people, and are protected by sign-in. No system is perfectly secure, so please share only what you are comfortable sharing. If a breach affects your information, we will notify you as the law requires.

Children

Our programs are for adults. We do not knowingly collect information from children under 13. If you believe a child has sent us information, contact us and we will delete it.

Donations

When online giving is available, payments will be handled by a payment processor. We will not see or store your full card number. We use your name and contact details only to thank you and to send the receipt you need for your taxes.

Changes

If we change this policy, we post the new version here with a new effective date. If the change is significant, we put a notice on the home page.
